1. Statutory Compliance, Reporting & Updates:
- Monthly & Periodic Filings: Manage the submission of reports after validation, verification, and confirmation from Neeyamo / End Client on Monthly / Quarterly / Yearly basis to statutory bodies, including Income Tax, Social Security, and Health Insurance filings and payments
- Legislative Monitoring: Provide timely updates on statutory changes, new laws, or regulations immediately upon release, explaining the logic and impact to the internal team
- Year-End Calculations and Activities: Preparation and validation of annual statements, annual tax reconciliation, new year tax declarations, and pension sheet
- Preparation and submission of Documents designated by law - Preparing various documents to apply, notify, and report to the administrative agencies under the Ministry of Health, Labour and Welfare (MHLW) by law.
- Registration & De-registration with concerned authorities for Client employees, new joiners & leavers.
2. Payroll Logic, Calculation & System Configuration:
- Advise and assist in building the logic for Japan-specific payroll calculations within the payroll software, including all tax, social security, and other statutory components.
- Advice on client-specific payroll scenarios & handling around as per Japan labour law regulations.
- Benefits & Deductions: Define rules for statutory deductions and benefits such as meal vouchers, medical assistance, life insurance, and school fee reimbursements.
- Calculation logics & declaration/validation of special cases such as Holidays, contract terminations, 13th & 14th Month Salary, Sick Leave, maternity and paternity, Sub Contractors, Shares (RSU), Shares, ESOP, ESPP, etc.
- Back Pay Arrears for any pay components as per Client Specific logics to understand, implement, and support the Neeyamo team for Transition Clients.
- Guidance and Understanding for Payroll Integration & Certification with e-Gov, e-Tax & any other authorities possibly having Payroll integrations, including Payroll data structures, Integration structures & logics, steps to perform Payroll compliance, etc., in Japan.
3. Training & Knowledge Transfer:
- Conduct training for internal teams on Japanese payroll components, compliance submissions, collective bargaining agreements (CBA), and year-end processing.
4. Audit & Authority Liaison:
- Act as the main point of contact for internal/external audits, represent in front of authorities if required, and resolve queries regarding filings.
